Access conditions and requirements
Most of the Archive's listed collections are available for consultation by researchers, free of charge. Researchers wishing to consult archival material must make an appointment with the Archivist before visiting the College, and will be asked to provide a letter of introduction.
Visiting researchers will be asked to agree to a set of rules relating to use of the Archive. These rules are intended to ensure the preservation of archive materials, while providing an environment conducive to research.
1.The College reserves the right of admission to the Archive.
2.Readers wishing to consult items in the Archive must provide a reference from a suitable person.
3.On arrival readers will be asked to sign in. Signing in is taken to be an acceptance of these rules.
4.The staff will fetch the items required by the reader to a maximum of three at any one time. It is not possible to allow readers direct access to the shelves.
5.The materials may be consulted within the Cockerell Building only. Readers are responsible for the safety of the items they are consulting.
6.Pencils only may be used when consulting items from the Archive.
7.Readers must not mark or otherwise deface items which they are consulting.
8.Some materials in the catalogues may be unavailable for various reasons. It will normally be possible to inform readers in advance should this be the case.
9.Eating, drinking and smoking are not permitted in the Cockerell Building.
10.For preservation reasons the photocopying of archive and manuscript materials is not permitted.
11.Photography can be undertaken on request. This is carried out by an external agency and readers should note that it may take some time to supply reproductions.
12.Laptop computers may be used, subject to a safety check by a member of staff.
13.The following items are not permitted: camcorders, personal stereos, tape recorders, personal photocopiers, mobile telephones, hand held scanners and portable typewriters.
14.Readers causing a disturbance to other Archive users will be asked to leave.
15.The staff reserve the right to check the bags, cases and folders of readers if they consider such action to be necessary.
16.Closed-circuit television is in operation in the Cockerell Building and readers should be aware that the consultation area is under constant surveillance.
The function of the Archive is to acquire and preserve records, but also to make them available for research. It is recognised that for reasons of sensitivity and confidentiality and legal considerations, it may be necessary for certain records to be closed to public access for limited periods of time. Closure may be applied to single papers in a file, individual files or a whole class/collection. Closure periods are indicated in the archival descriptions provided.
The Archivist must be notified in writing of the intention to publish or quote from any material in the Archive. Formal acknowledgement should be made to 'The Master and Fellows of Gonville and Caius College, Cambridge'.
Under the 1988 Copyright Act, the copyright in unpublished material extends for 70 years from the death of the author or from the end of 1989, whichever is the later. The responsibility for obtaining the copyright holder's permission to publish material from the Archive rests with the researcher, although the Archivist may be able to advise on this.
In cases where the copyright of Archive material is the property of Gonville and Caius College, a copyright fee may be charged for commercial use of the material.

REPROGRAPHY
Generally, archival material will not be photocopied for reasons of copyright and conservation.
Written requests for photographic or microfilm copies of archival material will be considered individually, taking into consideration the purpose of the copy and the physical condition of the material concerned.
Researchers should be aware that reprographic services are provided by an external agency. Requests should therefore be made well in advance of the date when photographs or microfilms are required.
